Context
Médecins Sans Frontières (MSF) is an international independent medical and humanitarian action-driven organization that offers assistance to populations in distress, to victims of natural or man-made disasters and to victims of armed conflict, without discrimination and irrespective of race, religion, creed or political affiliation. The MSF movement is built around 5 operational centers (OC) supported by 23 sections and offices worldwide. The MSF-Mission in Greece provides humanitarian and medical assistance to the refugee and migrants populations fleeing conflict in their home countries.
Main purpose
Organizing and supervising the daily supply chain activities and the teams associated, in the coordination or project level, according to MSF protocols and standards in order to ensure the optimal running of the mission.
Accountabilities
Supervising and organizing the daily activities of the Supply Chain team, including Supply Supervisors, and ensuring they perform the tasks linked to their role
Being responsible for the order, purchase, stock and freight management in the coordination or in the project level, monitoring and ensuring an efficient implementation of the overall daily supply chain activities
Monitoring and ensuring a smooth running supply administration and the respect of the implemented supply procedures, proposing adjustments where needed.
Being responsible for the supply database and the correct filing and archiving of the supply documentation in order toguarantee the availability and the coherence of supply data
Communicating with customers, keeping them up to dte concerning their orders status (BO confirmation) and prioritizing procurement and transport according to their needs
Collecting claims from the field, analysing causes and making corrective actions.
In collaboration with the Log Manager with the HR department, supervising the associated processes (recruitment, training/induction, briefing/debriefing, evaluation, potential detection, development and communication) of the staff under his/her responsibility in order to ensure both the sizing and the amount of knowledge required
Informing the Logistics Manager in case of any major issue and draws-up all required reporting, in order to keep updated and reliable information that will help in decision-making
Performing any other tasks within the scope of this role, as directed by supervision and according to the needs of the mission
Internal Requests/Purchases Orders/payments follow up well updated and shared weekly with Log Manager and the coordination of supply.
Follow Order follow up from coordination should be analyzed and send back
MSR log should be finalizing (Prices, codes…)
Check if everything is well storage as standard, like chlorine…in the log warehouse
Create intermediate stock to avoid so much IR for wash and maintenance.
Reception of medicals goods and logistics goods must be checking before sending to the pharmacy or logistics department.
Set up quaterly DATA report and Narrative report
All archive are well organized with all the mandatory signature and scanned copy of all documents
Well organized per family and dangerous items identified and well storage
Intermediate stock for wash and maintenance is created
MSR is updated with codes and prices (support from coordination)
EPREP stock is identified and special MSR is created
Ensure Monthly order is delivered beginning of each month (hygiene and intermediate stock)
Be proactive in case of abnormal number/item in the request
Set up markets assessments with suppliers.
Requirements
Essential degree and specialization in Logistics/Supply Chain.
Essential in supply chain management (minimum 2 years) and in organization of supply administration and procedures
Desirable proven understanding of MSF Field Logistics (general knowledge of MSF equipment and kits)
English & Greek language is mandatory.
Previous working experience desirable, with MSF or other NGOs.
Teamwork, intercultural sensitivity, flexibility are essential.
Essential computer literacy (word, excel, internet)
